Terms of Service
VAULT CYCLE ACCOUNTS
In order to access some features of the website, you will have to create a Vault Cycle account. You may never use another person’s account without permission. When creating your account, you must provide accurate and complete information. You are solely responsible for the activity that occurs on your account, and you must keep your account password secure. You must notify us immediately of any breach of security or unauthorized use of your account.
BOOKING, LATE CANCEL, NO SHOW, WAITLIST
Classes open to book every Sunday at 12 PM for the following Monday - Sunday with standard passes, packages, & Basic Memberships. All Access Memberships & Premium passes allow you to book with a 2-week rolling window. You can make reservations through the Vault Cycle app or website by following the “Schedule” tab.
You are able to create reservations up to 10 minutes before class. Walk-ins (no VC account/guest reservation) are not accepted. Purchasing a pass or package does not automatically book a bike. You will receive a receipt email after purchasing, then a confirmation email after successfully booking.
If you are a pass-holder & do not cancel a reservation 5 hours or more prior to class start time, the card on file will be charged a fee of $10. If you are an Unlimited Member of any kind, the late cancellation window is 12 hours. No-shows result in a fee of $20. After a late cancel or no-show, the pass you used to book will be returned to your account. These policies also apply to any guests you may book.
If the payment method you have on file declines a penalty fee, you will be notified via email & will have 24 hours to enter a valid payment method to your account. If you do not, any future reservations at Vault Cycle you have will be cancelled.
If you choose to join a waitlist, you are committing to a ride. If a bike becomes available when you are next on the waitlist, you will be automatically placed in that available spot up to 45 minutes before class begins & notified via email. If you are placed into a ride off of the waitlist, you are subject to our no-show policy & late cancel policy, meaning fees will apply to you at that time. If you do not make it off a waitlist, please feel free to show up for the possibility of an empty bike, although not guaranteed.
MEMBERSHIP DETAILS
Perks vary from membership to membership. Please note any minimum commitment stated on the membership’s purchase page as this can affect the result of termination requests. Memberships are recurring auto-draft charges, membership continues month-to-month until termination is requested via email. Memberships can be terminated immediately if payment method on file fails.
CLASS ETIQUETTE, SHOE RENTALS, WATER
We kindly ask that you arrive at least 10 minutes before class begins, always check-in with our front desk staff, they will remind you of your bike number & walk you through your next steps. Feel free to use our large bathrooms to prepare. Place personal belongings in the numbered cubby corresponding to your bike number. An instructor or team member will be ready to help if you need assistance setting up your bike or have any questions.
Our bikes are compatible with SPD cycle shoes and tennis shoes using foot cages. We offer Giro rental shoes, mats, & padded seat covers for just $2 each. We have a water refilling station in the studio. You can also purchase water, other beverages, & snacks right here in the studio. Plus, we have TIEM cycle shoes available for purchase! (Not rent.)
Once class is over, you’re good to go; don’t worry about cleaning, leave it to our front desk crew. Place rental shoes in the drop-off bin exiting the ride room.
Doors may be locked immediately at class start time. Although we strive to wait 1-2 minutes, it's not guaranteed. Your bike is subject to being given away to stand-by riders who were in-studio on time.
Cell phone use is not permitted on the bikes. Watches must be in theater mode.
We ask that you please stay for the entire duration of class. Our instructors strive to begin & end class on time, every time. If you must leave class early, please make the instructor aware before class begins.
RIDER EXPECTATIONS
We value community above all else at Vault Cycle. Your safety, comfort, & wellbeing always comes first.
Listen to your body: Trust yourself, and be aware of how you’re feeling throughout the ride. Take it at your own pace. There is nothing wrong with taking it easy or slowing down; we encourage this. If at any time you feel dizzy or have difficulty breathing, gradually stop pedaling & carefully dismount the bike. You can unclip from your bike by kicking your heels outwards, or by simply removing your feet from the shoes, leaving the shoes clipped into the bike.
Ride Safely: Do not use the bike without proper footwear. The bike mechanism & ergonomics are designed for riders above 4’11”. The bike has a weighted flywheel & a fixed gear. This means that in order to stop, you must gradually slow your pedal strokes rather than stopping abruptly. If you do need to stop immediately, push down on the resistance knob. Never turn the pedal crank arms by hand. Always keep at least 2 turns of resistance on the wheel. Never remove your feet from the pedals while still in motion. If your foot does become disengaged, quickly move your feet to the side and push down on the resistance knob to stop the flywheel’s motion.
Trust the process: Stay in control by executing all core movements and hand positions at a slow pace before attempting to increase your speed. Do not attempt to ride the bike in a standing position at a high BPM until you have practiced at slower speeds.
REFUND POLICY
You acknowledge that Vault Cycle charges fees for its services, and Vault Cycle reserves the right to change its fees or pass prices from time to time in its discretion. However, once a payment is made, the price at the time of purchase will be honored and you will not be charged. All expiration dates are noted on the purchase page and are final. Class passes, packages, memberships & gift cards are non-refundable. If Vault Cycle terminates your membership because you have breached these terms, you may not be entitled to a refund of any unused portion of membership or other fees.
AGE POLICY
You must be 16+ to ride at Vault Cycle. Any rider 16-17 must have signed parental-consent to ride. This can be done via eSign if you reach out to vaultcycle@gmail.com, or you may pick up a physical form in-studio. Please note that even if you create an account, purchase a pass, and sign this form, you will be turned away upon arrival if you do not meet these terms & your reservation will be subject to cancellation.
